The military does not trust memory. It trusts documentation. Every critical task, from radio checks to convoy prep, lives in a Standard Operating Procedure that any soldier can pick up and execute. When I left the Army, I assumed business worked the same way. It does not. Most online businesses run entirely on the owner’s memory, and that is exactly why they stall. In this guide, I will show you how to create SOPs with AI, turning the processes trapped in your head into documented systems a machine can help you run.

Why Your Business Needs AI Standard Operating Procedures

Here is the uncomfortable truth. If your business only works when you remember every step, you do not own a business. You are the business. Every undocumented process is a single point of failure with your name on it.

AI standard operating procedures solve two problems at once. First, documentation: the process gets written down, so it stops living in your head. Second, execution: once a process is documented, AI can actually run large portions of it. AI cannot automate chaos. It can only automate a documented process. That is the piece most people miss when they buy another tool and wonder why nothing changed. The 5-Step Process to Create SOPs With AI

This is the exact drill I run. One task per week. No marathon documentation sessions.

Step 1: Pick One Repeating Task

Not your whole business. One task you repeat weekly. Good first targets: replying to common emails, publishing content, processing invoices, onboarding a client. The boring stuff is the goldmine because boring means predictable, and predictable means automatable. Step 2: Narrate the Task Once

Do the task exactly as you normally would, but record yourself narrating every step out loud. Every click, every decision, every “then I check this.” Ten minutes of narration captures what would take an hour to write from memory, and it captures the real process, not the idealized one.

Step 3: Let AI Draft the Procedure

Feed the transcript to your AI assistant with a simple instruction: turn this into a numbered procedure, mark every decision point, and flag anything ambiguous. In two minutes you have a draft SOP that would have taken you an afternoon to write. This is the same leverage I use in my AI content repurposing system: the human does the thinking once, and AI multiplies it.

Step 4: Ask AI What It Can Execute

Now the force multiplier. Ask one question: “Which of these steps can you execute directly?” Typically 60 to 70 percent of any admin process, meaning drafting, formatting, sorting, summarizing, and scheduling, can be handled by AI immediately. Keep the judgment calls human. Delegate the mechanical steps to the machine.

Step 5: Test, Fix, Lock It In

Run the SOP once following only the document. Every place you had to improvise is a gap. Fix the gaps, save the document as the standard, and put a monthly review date on it. In the Army we called this an after-action review. In business, it is the difference between a document and a system.

What This Looks Like in Practice

This week I ran the drill on my weekly content publishing task. Old version: 90 minutes of scattered clicking across platforms, done differently every time. New version: a 9-step SOP where AI executes 6 steps, including drafting variants, formatting for each platform, generating image prompts, and staging the schedule. My part takes 20 minutes: review, adjust, approve.

The Veteran Advantage

Veterans have an unfair advantage here, and most do not realize it. You have already lived inside a documentation culture. You know what a good SOP looks like: clear trigger, numbered steps, defined standards, known failure points. Civilians pay consultants to learn what you absorbed in your first month of service.

Common Mistakes to Avoid

Documenting everything at once. You will burn out by Thursday and quit. One task per week is the sustainable pace.

Writing the ideal process instead of the real one. Document what you actually do, then improve it. Fiction does not automate.

Automating judgment calls. AI drafts, sorts, and formats. You decide. Keep approval steps human until the process has proven itself over multiple cycles.

Never reviewing. An SOP that does not get updated becomes a liability. Monthly review, five minutes, calendar reminder.
